General information
- Full-text search: If you enter a search term and trigger a full-text search, COYO will search through everything. This includes files and chats. You can find more information here.

Sorting: Your results are sorted by content type. For each type, the three most relevant search results are displayed. If the content you are looking for is not among the top three, you can use "Show all" to display all results for the corresponding segment. Additionally, you can choose in which order the results should be displayed within the segments: Sorted by "Relevance" or by "Latest" (date). When sorting by date, the most recently modified or uploaded content is at the top within the segment.

Filters: For a better overview in the often numerous search results, there are type-based filters per content type found, which make it easier to narrow down the results. More on this in a moment.
Search suggestions in COYO
Once you begin typing a term into the search list, the search will automatically provide you with suggestions for a possible search term. This helps you find exactly what you’re looking for more quickly. The search also provides more precise, better, and more detailed extracts from the search results.

COYO learns and suggests matches to you even if there is an obvious typo.
Use search filters correctly
Depending on the content type, you will be shown all results in which your search term was found. For each content type, there are different type-based filter options that make it even easier for you to narrow down your search, for example:
- Created/Published/Modified: You can make restrictions here based on the time period, e.g. set a filter on the most recent documents.
- Location: This lists all pages, communities, and events that contain the term you're looking for.
- Author: If you know who published the content you are looking for, this is the most accurate and fastest filter.
Example:
You are looking for a document and you still know that it is in a chat. In this case you can use the global search function and then just click on the "Messages" filter. If you even know which chat it is, you can narrow down your result even further. Just select the corresponding sender/recipient.
The selected filters are shown in the URL. This means that if you click on a search result, go to the content and click on the back button of the browser again, the previous search results will still be displayed. You can also link the search results to include a selection of results in your content.

We natively support the following types with the new search (native means we have indexed them in the new global search infrastructure and have full control over relevance, information displayed, and filters):

Influence of umlauts on the search
You’re not sure whether the word was written with or without an umlaut? No problem! COYO doesn’t make any distinction here, meaning:
If the name "Müller" is used in a post, you will find the post using both the spellings "Müller" and “Mueller". The search will also show results with "Muller", ignoring the umlaut altogether.
Multi-Language Support
Are there differences between the "normal" search and the search for hashtags?
Yes, there are. We want to clarify the difference for you using an example:
If, on the other hand, you click on a hashtag such as "#Marketing" or enter the term with a hashtag in the search, only the spelling of this hashtag is explicitly searched for. So the search results here will not include results that say "marketing" without a hashtag.
Tip:
When you search for a hashtag, you will also see if you are already following it. Here you can easily activate or deactivate your subscription to this hashtag.

The Search Function for On-Premise solutions
If you use an on-premises solution instead of the cloud solution, some functionalities of the search function are different or only available to a limited extent. Here you can find a list of the different functionalities.
Typos
COYO learns and suggests alternative search terms if there is an obvious typo.
Functionality of the filters
In the on-prem solution, the search results can be refined with 4 different filter types: by the type of post, the last edit, the publishing location and the author. You can then sort the search results by relevance or date and narrow them down using the other selections in one or more of the filter categories.
The selected filters are not reflected in the URL. So if you go back in your browser's navigation after retrieving a result, you'll have to enter the filters you want again. This also means that you can't pass URLs to others with all filters already set.
Refining the search results with search operators
If you want to control the search even more precisely, you can enter the following operators together with your search terms. We have listed several examples to illustrate this:
- AND search (AND) - Example: Marketing AND Plan: Returns results that contain the terms "marketing" and "plan". This is the default and does not need to be entered separately.
- OR search (OR) - Example: Marketing OR Plan: Returns results that contain either "Marketing" or "Plan". So for example also "pension plan" or "marketing budget".
- Search with wildcard (*) - Example: Plan*: Returns results with terms that start with the word "plan". The asterisk symbolizes a wildcard for any other characters. So, for example, this would find results for "planning" or "planability", etc. The asterisk can be used anywhere except at the beginning.
- Exact search (") - Example: "marketing plan": Returns results for the exact term "marketing plan". Both terms must appear in exactly this order in the result. Use the quotation marks if you know the exact term you want to search for.
- Exclude search terms (-) - Example: Marketing -Plan: Returns results containing the term "marketing" but not "plan".
- Group operators (()) - Example: (Marketing OR Business) AND Plan: You can use the parentheses to put multiple operators in order. In this example, results are returned that contain either "Marketing Plan" or "Business Plan". Always use parentheses when you want to combine different operators.
Supported content types for search
Search does not provide a separate content type for comments. While comments are captured by the search, they are not explicitly identified as such within the results. The associated post or article is displayed instead.
Time indication in search results
Starting with Cloud Release 28, you can hover over the time info to get the exact time of the last change.
