General information

The search in Haiilo is always the appropriate tool if you’re looking for something but don’t know where it is. The search can be found in the navigation or you can activate it with a shortcut by pressing the "s" or "f" key. This will take you directly to the search field and you can enter your search terms.
 
At first our quick search will assist you by offering you direct hits within pages, communities, users and events. The quick search acts as your easy and fast navigation through the system. When displaying the results, the search takes into account your permissions and shows you all of the content for which you have access permissions.
 
This is the most important information that you should know:
 
  • Full-text search: If you enter a search term and trigger a full-text search, Haiilo will search through everything. This includes files and chats. You can find more information here.

  • Sorting: Your results are sorted by content type. For each type, the three most relevant search results are displayed. If the content you are looking for is not among the top three, you can use "Show all" to display all results for the corresponding segment. Additionally, you can choose in which order the results should be displayed within the segments: Sorted by "Relevance" or by "Latest" (date). When sorting by date, the most recently modified or uploaded content is at the top within the segment.

  • Filters: For a better overview in the often numerous search results, there are type-based filters per content type found, which make it easier to narrow down the results. More on this in a moment.

 

Search suggestions

Once you begin typing a term into the search list, the search will automatically provide you with suggestions for a possible search term. This helps you find exactly what you’re looking for more quickly. The search also provides more precise, better, and more detailed extracts from the search results.

Haiilo learns and suggests matches to you even if there is an obvious typo. 
 

Use search filters correctly

Are you looking for certain content but can’t remember exactly where you can find it? In this case, the filters are your first choice!
 

Depending on the content type, you will be shown all results in which your search term was found. For each content type, there are different type-based filter options that make it even easier for you to narrow down your search, for example:

  • Created/Published/Modified: You can make restrictions here based on the time period, e.g. set a filter on the most recent documents.
  • Location: This lists all pages, communities, and events that contain the term you're looking for.
  • Author: If you know who published the content you are looking for, this is the most accurate and fastest filter.

Example:
You are looking for a document and you still know that it is in a chat. In this case you can use the global search function and then just click on the "Messages" filter. If you even know which chat it is, you can narrow down your result even further. Just select the corresponding sender/recipient.  

The selected filters are shown in the URL. This means that if you click on a search result, go to the content and click on the back button of the browser again, the previous search results will still be displayed. You can also link the search results to include a selection of results in your content.

We natively support the following types with the new search (native means we have indexed them in the new global search infrastructure and have full control over relevance, information displayed, and filters):

  • Blog articles
  • Comments
  • Pages
  • Communities
  • Events
  • Files
  • Forum
  • News
  • Timeline posts
  • Wiki articles
  • Content app
  • Google Drive (not as filter)
  • SharePoint (not as filter)
  • List app
  • Hashtags (not as filter)
 

Influence of umlauts on the search

You’re not sure whether the word was written with or without an umlaut? No problem! Haiilo doesn’t make any distinction here, meaning:
If the name "Müller" is used in a post, you will find the post using both the spellings "Müller" and “Mueller". The search will also show results with "Muller", ignoring the umlaut altogether.

 

Multi-Language Support

Search also allows you to easily find items that support multiple languages by their language-specific names. So if a French colleague gives you a tip about a great site, you can finally find it without knowing the name in French.
 

 

Are there differences between the "normal" search and the search for hashtags?

Yes, there are. We want to clarify the difference for you using an example:

The "normal" search always looks for the whole word that you enter. This means: If you’re looking for the term "marketing", all items containing the word "marketing" will be found. Consequently, also "#marketing" because "marketing" is part of "#marketing".
 

If, on the other hand, you click on a hashtag such as "#Marketing" or enter the term with a hashtag in the search, only the spelling of this hashtag is explicitly searched for. So the search results here will not include results that say "marketing" without a hashtag.

Tip:
When you search for a hashtag, you will also see if you are already following it. Here you can easily activate or deactivate your subscription to this hashtag.

 

Which file formats can be searched?

The global search searches through various file formats to generate hits. The following formats are part of this:
  • PDF
  • HTML
  • PlainText
  • RichText
  • XML
  • Apple Office
  • MS Office
  • Open office.
