Every main function in Haiilo automatically has an overview page. You can find this overview for pages, communities, and the list of colleagues.
You make it easier for your colleagues to find their way around in Haiilo by arranging, sorting, and grouping your overview pages according to a system that you have determined. We find that the best way to do this is using categories!
How can I create and manage categories?
Pages
You require the permission "Manage categories" in the pages area. If you have been granted this permission, the field "Manage categories" appears.Any categories you like can now be added by clicking on "create new category". These can be assigned when creating a new page or when editing existing pages.
Communities
You require the permission "Manage categories" in the communities area. Here, too, the designation of the areas is completely up to you and you can add any categories you like. These can be assigned when creating a new community or when editing an existing one.List of colleagues
The categories in the list of colleagues follow a different logic: If your employees manage their profiles themselves locally, the categories are created by the properties entered in the free text fields that your colleagues use.If you take the values for the fields in the profile from an Active Directory, the categories are defined by this. Alternatively, you can also customize profile fields via API to e.g. only enable a drop-down menu and thus restrict the categories.
What do the overview pages look like then?
Pages
On the overview page, your colleagues get an overview of what pages there are within your digital home. With the help of a well-sorted category overview, your users can quickly reach the results that are relevant to them. To allow the corresponding labels to be set when creating the page, your administrators should have defined these beforehand:

Communities
Communities are your opportunity to flexibly create working groups and offer space for self-organization and exchanges between teams or areas. Categories should be particularly used in this area as the number of communities increases over time.
Every community should be assigned a category here. At the start, it is helpful to make a distinction between project, product, leisure and interest, team and service or help communities.

List of colleagues
The list of colleagues gains its categories via the profile fields. The fields "Department" and "Location" in the profile determine which categories are available. Colleagues who have not stated anything are listed under N/A.

Haiilo is based on voluntary participation and self-organization. If you give your employees the freedom to edit and update their profile fields themselves, you should raise awareness among the department heads and team leaders and encourage them to maintain their own profiles and act as role models.
If you want to prohibit excessive use right from the start, we recommend connecting an Active Directory and removing the permission to independently edit certain profile fields (e.g. department, location) from users. In this way, you can ensure that all profiles have uniform values and fundamental information is present.
Another option would be to change the kind of profile fields via API such as to a drop-down box. This way, your users can edit their profile themselves but the values used by the navigation for the filters are pre-determined.
