In COYO you can define obligatory terms of use for your employees. They must then agree to these before they are admitted to the surface. This allows you to design the communication on the platform and make sure that fair treatment and respect are part of the agenda and that as many people as possible adhere to the established guidelines.
Where can I find the terms of use for my employees?
In the administration you will find the sub-item Terms of use. By default, terms of use are disabled - activation means that users must immediately accept the terms or no longer have access to the interface. In the "Log" section you will find an overview of all activities: the system records who accepts, who rejects when a new version is published and when the terms of use are activated and deactivated.

What is the procedure for activating terms of use?
- First you can activate the terms of use here. New users must sign up to these terms of use when logging on for the first time.
- You also have control over how users who do not accept the terms of use are handled. You can specify if newly created users should be hidden in the system until they have accepted the terms of use.
- Title: Assign an individual title for your terms of use.
- Content: Add your company's terms of use for the use of COYO here.
- Forwarding URL: Here you can enter an URL to which users who reject the terms of use will be redirected.
- Click 'Save' to save the changes you have made.
- You can also reset the terms of use in the administration.
Why does it make sense to implement terms of use on my interface?
Terms of use are nothing more than rules. For the joint use of a platform it is obvious to define certain rules of the game. So the users know directly how to deal with COYO with copyrights, personal data, disrespectful or inappropriate communication and commit themselves to it.
This creates clarity and security for you and your users!

Do you have an example?
With this guideline we want to create a common understanding of how users can use COYO
to communicate with each other and relate to each other.
Terms of use for your COYO interface should move around these cornerstones:
1. Be recognizable for your colleagues.
Use your profile picture to identify yourself as an expert and become visible. With the personal profiles of each employee, we create an internal network.
2. Communicate respectfully.
Treat your colleagues with respect and friendliness. Everyone has the right
on freedom of expression, do not impose your personal opinion on anyone and respect the opinions of others. Insults, sexual allusions and sexist or racist statements are prohibited and will not be tolerated by us as a company.
3. Pay attention to the content of your contributions.
The contributions can be personal and work-related, but should relate to our specialist areas or support the team spirit (e.g..: Appointments for communal activities during lunch break or after work). Each employee is responsible for the content of his or her own contributions.
4. Be careful when using images.
When you post images, make sure that the people shown have agreed to use the image.
5. Pay attention to the content of your links.
Links to other contributions in our portal, the internet or intranet are welcome.
Note that you are not pointing out anything unlawful, obscene or slanderous.
6. Respect the copyright.
Note the copyright when setting files, images or texts. If you include other content that is not your intellectual property, always mention the source. In addition, only the author is entitled to the duplication of content.
7. Log out.
Coyo offers us the possibility of mobile access to our data. Therefore, always make sure that you log off properly when you leave the platform. This is especially important when you access our portal via external devices.
These points are only a guideline - you can add more or less content to it as you like!

What if I want to use externals tools, e.g. Piwik or Google Analytics?
Data protection is very important to us, therefore our recommendation is to inform your users within the terms of use and get their acceptance.
Where can I look up, who has accepted the terms?
Under Administration > Terms of Use > Log you can also see who has already accepted the Terms of Use.

What happens when I reset the terms of use acceptance?
The users who are logged in during a reset of the terms of use will see the terms of use the next time they reload/click in COYO and must accept or reject them. When a user rejects the terms of use, they are logged off accordingly.
The terms of use log will not be cleared because the entries are static entries. This means that if user A accepted the terms of use two weeks ago, then it will still appear in the log that the user accepted the terms of use at that time. However, if the terms of use are now reset, a new entry is created for each user who accepts or rejects the terms of use.
